Privacy Policy
Your trust is the currency this Forum runs on, and that extends to how we handle your data, not just what's said in the room. This policy explains, in plain terms, what we collect, why, and what control you have over it.
Using our website, applying for membership, or attending our events means you're accepting the terms below. We'd rather you actually read it than skim it, so we've kept it as direct as a policy like this can be.
1. What We Collect
-
Identity and contact details — name, email, phone number, company, job title, and billing address, gathered when you apply, join, or register for an event.
-
Payment information — handled through our payment processor; we don't store full card details ourselves.
-
How you use our site — IP address, device and browser type, pages viewed, and general navigation patterns, collected automatically.
-
Cookies — small files that remember your preferences and recognise you on return visits. You can block these in your browser, though parts of the site may stop working properly if you do.
2. Why We're Allowed to Collect It
We only process your data where we have a proper legal basis to do so: because you've consented, because it's necessary to deliver what we've contracted to provide, because the law requires it, or because we have a legitimate business interest in doing so (such as keeping our member community secure and well-run).
3. What We Actually Do With It
-
Running your membership — vetting applications, managing your account, coordinating forum group placements, and organising events.
-
Keeping you informed — updates about your group, event logistics, and occasional policy changes. Anything promotional is opt-out, always.
-
Support — answering your questions and resolving issues when something goes wrong.
-
Finance — invoicing, processing payments, and handling refunds or disputes.
-
Improving the Forum — understanding, in aggregate, how members use our site and services so we can make both better.
-
Staying on the right side of the law — meeting our legal obligations and enforcing our membership terms where necessary.
4. Who Else Sees It
We don't sell your data, and we don't rent it out. It gets shared only where it has to be:
-
Vendors who help us operate — payment processors, email platforms, event venues — bound by contract to use your data only for the job we've asked them to do.
-
When the law requires it — a court order, regulatory request, or similar legal process.
-
If the business changes hands — a merger or acquisition, in which case your data would transfer under the same confidentiality standards.
-
When you say it's fine — any other sharing happens only with your explicit go-ahead.
5. How We Protect It
We use encryption for payment data and secure storage for everything else, and we take the security of member information seriously — this is a community built on discretion, and that applies to your data too, not just what's discussed in sessions. That said, no system connected to the internet is unbreakable, and we can't promise absolute security, only that we work hard toward it.
6. How Long We Keep It
We hold onto your information for as long as your membership is active, plus whatever period the law or a legitimate dispute requires afterward. Once there's no reason left to keep it, we delete or anonymise it.
7. Your Rights
You can ask us to:
-
Show you what we hold on you
-
Correct anything that's wrong
-
Delete your data, where we're not legally obligated to keep it
-
Restrict how we process it in certain situations
-
Stop sending you promotional email — just hit unsubscribe, or tell us directly
Email us at info@execforumgroup.com to act on any of these, and we'll respond within 30 days.
8. Moving Data Across Borders
We're based in the United Kingdom, so if you're joining from elsewhere, your data may be processed here or in other countries. Wherever it travels, we make sure proper safeguards are in place under applicable privacy law.
9. Other People's Websites
If our site links out to somewhere else, their privacy practices are their business, not ours. Worth a read before you hand over any information.
10. This Isn't for Minors
The Exec Forum is built for senior executives, not under-18s, and we don't knowingly collect data from minors. If we discover we've done so by mistake, we'll delete it — let us know at info@execforumgroup.com if you think this has happened.
11. If This Policy Changes
We'll update this page when our practices or the law require it, and flag anything significant by email. Continuing to use the Forum after an update means you're on board with the new version.
